Client Relations Representative

 About the Role

We are seeking a detail-oriented, responsive, and customer-focused Client Relations Representative to support ongoing service and maintenance needs across our protection plan business. This role is responsible for managing client interactions, processing administrative updates, and ensuring a smooth and consistent experience for both customers and repair facilities.

In this role, you’ll serve as a key point of contact for clients, handling inquiries related to billing, contracts, and account updates while also coordinating with internal teams and external partners. You’ll play an important role in maintaining accurate records, resolving issues efficiently, and ensuring that all interactions are handled with professionalism and care.

This position is well-suited for someone who is organized, accountable, and comfortable managing multiple priorities in a fast-paced environment. Success in this role requires strong communication skills, attention to detail, and a commitment to delivering a high-quality client experience.

Key Responsibilities

  • Serve as a primary point of contact for client inquiries via phone and email
  • Assist with billing questions, contract updates, cancellations, and account changes
  • Process administrative updates including mileage changes, waivers, and reimbursements
  • Manage and respond to client and internal emails in a timely and professional manner
  • Coordinate with repair facilities and internal teams to resolve issues and ensure accurate processing
  • Maintain and update client records across CRM and internal systems
  • Support contract follow-ups and ensure completion of required documentation
  • Assist team members and other departments as needed to maintain workflow efficiency
  • Ensure all interactions are handled with accuracy, professionalism, and attention to detail

 Qualifications

  • 1–3 years of experience in client relations, customer service, or administrative support roles
  • Strong communication skills, both written and verbal
  • Strong critical thinking and problem-solving skills; ability to assess situations, identify root causes, and make sound decisions
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • High attention to detail and commitment to accuracy
  • Comfortable working with CRM systems and business applications
  • Self-motivated and able to work independently while staying aligned with team priorities
  • Professional, reliable, and composed when handling client concerns

Preferred Skills

  • Experience working in a service-based or contract-driven environment
  • Familiarity with Microsoft Excel, Word, and Outlook
  • Strong problem-solving skills and ability to think through issues under pressure
  • Automotive or warranty industry experience is a plus
  • Team-oriented mindset with a willingness to support others
